Unforgettable weddings are rarely planned and scheduled on impulse. As exciting as it can be for couples to seal the deal, their dream wedding venue quietly fills up faster than expected. This leaves wedding planners forced to compromise and create an experience far from the couple’s ideal.

Booking a venue at the ideal time is secretly one of the most important aspects of planning a wedding, especially for couples in the dense and crowded NYC area. Prime venues can sell out over a year in advance. Early booking gives couples more control over the wedding date, location, and celebration planning.

The arrival of your guests is not the start of an idyllic wedding. Identifying the perfect venue is when it truly begins.

Factors to Consider

When booking a venue, date, setting, budget, and wedding size are the four major factors to consider. How much each proponent requires planning ahead varies considerably.

“Save the Date”

Certain dates or times of year are considerably more popular for weddings than others. Peak wedding season in the United States generally runs from May to October, when the weather is the most pleasant for a spring, summer, or fall wedding. Saturday nights are also the most popular time of day and week for weddings, giving guests both ample time during the day to travel and/or get ready. Guests then have Sundays to recover from the festivities and prepare for the workweek. Weekdays and daytime hours, as a result, are generally less popular.

If you envision your wedding being on a Friday or Saturday night during peak season, it is highly recommended to book your venue early. Couples planning on a marriage outside of those times or don’t have a significant date of preference, however, have more flexibility with booking times.

Of the over two million couples that get married in the United States each year, most of them live and chose venues located in major U.S. metro areas, such as:

First or second-tier metro area venue calendars fill up faster, simply because there are more total people looking to get married.

Destination weddings are popular both in and out of the United States. Even if locations are relatively rural and unperturbed from their natural beauty, expect venues to fill up quickly and act in advance.

As your guests will be travelling with you and potentially coming from far away for the wedding, it is courteous to announce destination weddings earlier rather than later.

Regardless of venue, it is not a bad idea to at least start checking availability in advance.

Funding Your Day

Paradoxical as it may sound, high-end wedding venues actually book the fastest. On paper, it would seem like higher prices and exclusive nature would dissuade couples from wanting to book… right?

The answer is very much the opposite. More exclusive venues earn that reputation because so many people want to get married there. So much so that they can charge a premium and still fill entire calendars.

Rising costs are yet another reason to think in advance when planning weddings. With clear times and places that are in high demand for weddings, venues will raise prices as these dates draw closer if any time slots are available.

Accommodating Guests

According to The Knot’s 2026 Real Weddings Study, the average American wedding hosts 117 guests. Despite a brief plummet to roughly a fifth of that during the pandemic years, the average has otherwise stayed stable over the past decade.

Nailing the perfect-sized venue relative to the number of guests is a vital aspect of wedding ambience. Choosing too small of a venue creates a cluttered atmosphere, vendor constraints, and potential accessibility issues. Too big of a venue, however, creates a less intimate and lonely atmosphere.

Venues for large weddings (150+ guests) are typically more expensive and less common than those designed for something closer to the average. Hence, it is important to think ahead when booking larger venues.

Types of Venues and When to Book

The type of wedding venue you choose, whether it be a traditional hotel banquet hall or something more unique, also plays a role in how early you want to book. Below are a few common choices and estimations of how long it may take to book.

Traditional Venues

Hotel Ballrooms are one of the more flexible choices available. Coming not only with a pleasant setting but easy accommodation for guests, 9-12 months in advance is typically the ideal time to book.

Banquet Halls typically require more planning and foresight than hotel ballrooms, ideally being booked 12-18 months prior to the wedding. This is particularly true during peak times.

Boutique Venues

  • Choose a location for a Beach Wedding within 12-18 months of your wedding day. Beachside weddings are increasingly popular, and highly concentrated in the summer months.
  • Historic and boutique venues, such as manors, vineyards, barns, or 200+ year-old estates, may require 2 years or more in advance. These are often unique, one-of-a-kind experiences that are not easily or cheaply replicated elsewhere.
